Data Protection Policy

​

If you make a booking to attend an event run by Bobbit Worm:

 

We will collect, store and process information relating to the management of your event booking or enquiry with Bobbit Worm.

Your contract (event booking) with Bobbit Worm will form the legal basis for this data processing, with the processing of your data essential to the management of your booking or enquiry with Bobbit Worm.

 

Other Contacts/Enquiries:

 

We will collect, store and process information relating to the management of your contact with Bobbit Worm.

Your consent to the processing of information relating to the nature of your contact with us will form the legal basis for this data processing.

Data processed will include personal information relating to your name, email address/method of contact and the nature of your enquiry/feedback.

 

Marketing

 

We will only use the information we record to manage your contract with us. Use of event attendee information for marketing purposes will only be undertaken with your explicit consent.

 

Your rights and our promises to you

 

  • We will not use or share your information further than described above unless required to do so by law.

  • We will not process your personal data outside the European Economic Area.

  • We will retain and subsequently securely dispose of your information when no longer required. This will typically be for either the lifetime of any contract plus the observance of additional retention aligned to financial/ accounting regulations; or in the case of marketing contacts until you tell us you no longer wish to be contacted.

  • You have a right to request a copy of any and all the records Bobbit Worm holds that are about you, which we will provide to you within 30 days of receiving your written request.

  • Where we process your information on a consent basis for marketing purposes, you have the right to withdraw this consent and to exercise your right to be forgotten at any time you wish by simply letting us know.

  • We will correct any factual errors within your records.

  • We will process personal information according to the Data Protection Act (2018), the EU General Data Protection Regulation, and the Privacy & Electronic Communications Regulations at all times.

  • You have a statutory right to raise a complaint with the Information Commissioner’s Office if you feel we have failed to honour your rights under Data Protection legislation.

Equality, Diversity and Safety

 

We believe in creating a safe, welcoming space for all participants and as such believe that there are some guidelines that both players and organisers need to adhere to.

Discord

 

We are using the Discord platform to run this game. It should be noted that the Discord platform has its own Community Guidelines which includes rules against hacking, violence and discussing illegal substances. As far as the team is aware, if this is roleplayed and represented rather than actually done, then this is not against the guidelines. 

 

Access

Players will be given the opportunity to tell the refs about topics and content which they do not wish to be present in the game. This information is kept by the game team (Hazel and Erin), and will be used to ensure that no plot containing these themes is brought into the game.

Different people have different limits to how fast they are able to type, and the accuracy of their text communication. Players should not make comments on the speed or accuracy of responses received from each other (e.g spelling and grammar), and should remember to be patient.

Where possible, you should keep your camera on and face in frame whenever possible to aid any players lip-reading.

If uploading or linking any visual material, make sure to avoid repetitive flashing images.

If you require any documents in a different format, then please contact the game team and alternative formats will be sent to you over PM.

If you do have any other requirements not mentioned in the design pages or here then please get in touch so that we can do our best to make suitable changes.

 

Equality and Diversity

Respect

Bobbit Worm regards creating a positive and inclusive environment for everyone to roleplay in as a priority. As such, we treat breaches of the rules of behaviour with as much seriousness as any other breach of the rules, and we will respond accordingly.

Anyone engaging in behaviours in or out of character considered to be bigoted or exclusionary regarding off game physical appearance, age, race, gender, sexuality, physical/mental disabilities, religious beliefs or involving non-consensual contact and/or harassment will be asked to leave. This includes members of crew.

If you feel that someone is acting inappropriately or against this respect policy then please contact a member of the games team so that we can contact the individual in private and investigate the situation. This can be done via the games operation desk or by mailing bobbitwormgames@gmail.com

We understand that these types of behaviours can be very offensive but ask that people refrain from violence and aggressive responses so that they can be dealt with in an appropriate manner.

Social Media

There is a Facebook interest group where out of character logistical planning, group organising may take place or queries answered. All participants are expected to be courteous and respectful as described in our respect policy above.

Consent

All role-play should be consensual but that doesn’t mean it has to be pre-planned. As mentioned in the main part of the event guide certain themes will not be tolerated and we ask that anyone witnessing them reports it immediately so that we can deal with. As part of this idea around consensual role play all person have the right to walk away from situations they feel uncomfortable or unsafe in without being confronted In any instance where you feel uncomfortable or unsafe and want to indicate this then please use the following mechanic/prompt so those around can clearly see it.

Cheating

Live roleplay relies on consensual understanding of, and reaction to, the rules to function. If someone chooses to ignore them for an in-game benefit, then they are damaging the game for everyone and we will take appropriate action to restore the game’s integrity.

Right of Removal

We reserve the right to, at any point, remove from the game any person or persons we believe to be a detriment to the event, our ability and desire to run the event, or our ability to keep our players safe. If a member of the games team asks you to leave an area (either localised, or the event field), you are required to follow their instructions. If you believe this action to be unreasonable, submit a complaint to the refs after you have complied with the instruction.

Consequences

Should a person be found to be in breach of any of the rules or guidelines put in place by Carcosa Dreams any number or combination of the following actions may be taken alongside others deemed appropriate to maintaining the safety of all participants. .

  • Requiring you to temporarily leave an area

  • Requiring you to avoid an area or game scenario

  • Requiring you to leave the in character area until a condition is met, for example, until sober or until morning.

  • Requiring you to leave the event as soon as possible, with all the assistance we can provide.

  • Banned from this game for a period of time (Some events, some months, some years).

  • Banned from all Bobbit Worm events for a period of time.

  • Banned from any events we run indefinitely.

  • Police involvement.

As a general rule we will not enter into any discussion on whether or why a specific person was subject to a sanction of any kind.

We reserve the right to vary that rule where in our judgement the risk of individual safety outweighs the right to privacy.

This policy is largely based on the Carcosa Dreams Equality and Diversity Policy with some adaptations made specifically for this event
